September 14, 2023 Board Meeting at Joes Pizza
Important Business:
· Called meeting to order
· Previous minutes approved 6-0- Meinhardt not present
Finances:
· Update from Treasurer
o Follow-up needed about the $1,200 outstanding from the tournament
o There are 13 kids participating in the Prospects program, 6 have paid through August
o Raised $2,100 with banner sponsorships
· Spike’s payment-completed
Team Activities:
· Take aways from the team BBQ
o Possibly include the prospects in next BBQ
· Team meals
o Determined by schedule
§ Lindsey agreed to host 1st Varsity and JV meal
· Lindsey-Homecoming parade
o 9/26/23 @ 6pm
o Only HS players in the parade
· Team Event-Oct 20 or 21
o Attend the Ol’ Miss game vs Edwardsville
§ Allen to send the Save the Date

Coaching Discussions:
· Update from Coach Lalk
o Rosters are completed
§ 7 coaches and Kelly’s Dad are on the rosters
§ 2 players need to complete SafeSport
o Players will not be allowed on the ice until the players/parents accept the updated handbook
Fundraising:
· Update on banner:
o Team logo in the middle with sponsors around it
o Possibly order 2 banners
o Lynch will prepare a script for the sponsorship announcements at the games
· Review any other open items for banner program
· Team apparel

· Shirts/sweatshirts from Too Blue
o Sweatshirts are $18, hoodies $22
· Raffel Tickets
o Tickets are sold for $20 each
o Lynch will send out an email with details and dates of the drawings

By-Law/Code of Conduct Revisions
· Review for corrections/changes
o Voted on and approved by all present board members to merge the By-laws, Handbook and Code of Conduct into 1 cohesive document. Lynch and Sanderson will work together to merge the documents and present to the board members by October 1, 2023.
Other Business:
· MIHOA registration so we can secure refs in the future
o Fitzgerald will look into this for future scrimmages
· Reach out to the Middle School to get the JV1A team picture in the year book
· Consider ordering 500 pucks to hand out at the parade next year
o Consider reaching out to local hockey clubs to see if they want to sponsor some pucks and add their logo to the pucks we are handing out
· Add 1000 popsicles, for a total of 3,500, to hand out at the parade next year
o Split the popsicles up on the parade route so there are some to hand out in the second half of the parade

A motion was made by Lindsey R and seconded by Nicole S to enter into executive session to discuss and consider the action of the appointment, employment, discipline, performance or dismissal of a specific coach, athlete or member of the Columbia Ice Eagles Hockey Club.

August 9 2023 Board Meeting at Bowling Alley
Finance Update
o Gloves and Bags are paid for.
o East Alton Update. We paid for the tournament, but we have not heard anything back
yet. We are expecting a credit from the league. Allen will check since he is attending
the next MVCHA Board meeting.
o The board agreed to purchase practice jerseys for all new and returning players.
o The board agreed to purchase white socks for the Varsity only as another sock for
special games. No additional costs to parents.
o The board agreed to charge prospects $200 for the year. We will be allowing prospects
to attend Thursday practices and will include a practice jersey.
Parade
o Vandalia Bus Lines Sponsorship. Ben will contact them.
o Popsicles have been purchased and frozen.
o Crissy Fitzgerald showed the pucks that will be handed out at the parade.
o Allen was going to send out an e-mail to ensure everyone brings a jersey on a hanger
and is present by 2:45 for team photos.
o Lindsey will bring the T-shirs and they will be handed out during the parade.
Cookout (Picnic)
o We will grill Pork Butts (2). Schooner Fitzgerald and Allen Lalk will be the grill masters.
o Allen will make a Costco run to purchase all required buns, utensils, and etc. Parents are
still bringing their own drinks and one side.
Practices
o Allen is planning to have the following practices:

o Players will be expected to wear the practice jersey to allow scrimmages

November 8 Board Meeting at Bowling Alley

o Check to Meramec Sharks for refs for scrimmage with JV1A team
§ Need to find out final amount
o $11,900 in account currently
§ Looking at $5,500-6,000 surplus with the target being $4,000
· In December meeting review the budget and finalize the surplus
Team Activities:
o Senior Night
§ January 4 @ 7:30pm at McKendree is the proposed night
§ Nicole will reach out to other senior parents for help organizing the night
· Bus, dinner paid by the club
